Information you provide
General enquiries ask for your name, organisation, email, service interest and message, with an optional phone number. Healthcare enquiries also ask about your facility and the scale or nature of its claims workflow. Careers applications ask for contact details, the role of interest and experience; you may attach a PDF CV of up to 2 MB. Newsletter signup asks for your email and an optional first name.
Please provide business information relevant to your request. Do not submit patient-identifiable information, health records, identity documents or confidential claims files through this website. If an engagement requires sensitive records, we will agree an appropriate secure channel separately.
Why we use it
We use enquiry details to respond, understand your requirements and discuss a possible engagement. Application details help us assess and respond to your interest in working with us. Processing necessary to take steps you request before a possible contract is separate from optional marketing consent. We also use limited technical information to operate and protect the website, prevent abuse and maintain records of form submissions and consent.
Newsletter updates are sent only after you actively consent and confirm your email address. You can unsubscribe using the link in an update. An enquiry or job application does not subscribe you to marketing.
What happens when you submit a form
Your enquiry or application is emailed to info@alatavision.com, and an acknowledgement is sent to the address you provide. A website record stores the submitted fields, consent, time and originating page, together with technical information such as IP address and browser details. An optional CV is sent as an email attachment. Authorised staff use these records to handle your request.
Retention
Our standard retention period for website enquiries and careers applications is three months. The website’s daily retention check removes qualifying records from active storage after that period by moving them to a recoverable bin. Removal is therefore not an immediate purge of every copy. Bin recovery, restricted backups and email copies may retain information separately; contact us if you need a deletion request applied across these copies. A record needed for an ongoing engagement or a legal obligation is handled under the applicable business record requirements.
Newsletter subscriptions are separate from enquiry records and remain until you unsubscribe or request removal. Limited suppression and consent information may be retained where needed to honour your preference and demonstrate how consent was obtained.
Website statistics
With your statistics consent, we use self-hosted Burst Statistics to measure pages visited, referral sources, broad device information and actions such as contact-link clicks and successful form submissions. An anonymous first-party ID cookie helps count visits and conversions. Analytics stays in our website database; form contents and CVs are not sent to analytics. We honour Do Not Track requests and exclude administrators. You can decline or withdraw statistics consent using Cookie preferences.
Providers and external services
The website is hosted through IONOS and uses WordPress, Contact Form 7, Flamingo and Newsletter to provide site, form-storage and subscription functions. Email delivery uses the company’s email service. Service providers may process technical information to deliver and protect these functions.
With your permission, Google reCAPTCHA checks for automated form abuse and Google Fonts supplies typefaces. Google may receive your IP address, browser and device information, and interaction information used for security analysis. These services can involve processing outside Kenya. See Google’s Privacy Policy and our Cookie Policy. External Google services are blocked until consent. You may decline and contact us directly by email or phone instead.
We do not sell website enquiry or application details. We may disclose information where required by law or necessary to establish, exercise or defend legal rights. We do not ask you to authorise transfers of patient records through these public forms.
Your choices and rights
Under applicable Kenyan data protection law, you may ask how your information is used, request access or correction, object to processing, and request erasure, restriction or portability where the relevant conditions apply. You may withdraw consent to optional processing; this does not undo processing lawfully carried out before withdrawal.
Email info@alatavision.com with the request and enough information to locate the relevant record. We may ask for proportionate verification before disclosing or changing personal information. You can also raise a concern with the Office of the Data Protection Commissioner.
Security and updates
Access to submitted records is restricted to authorised personnel and service providers involved in handling them. No online system can guarantee absolute security. Tell us promptly if you believe information has been disclosed incorrectly. We will update this notice when the website’s handling changes and show the latest date above.
